Preceptor definition
An identified experienced practitioner who provides transitional role support and learning experiences within a collegial relationship for a specific time, while continuing to perform some or all the other responsibilities of their position. Preceptor roles may include:
- student supervision during a clinical placement, rotation, or practicum
- serving as an advisor on a research or practicum project
- preparing and/or facilitating education sessions for the college
There may be more than one preceptor at a designated location. A primary preceptor is the individual responsible for facilitating and supervising the placement as well as completing written evaluations of the student. A co-preceptor may share the responsibilities of the primary preceptor.
- If an individual has no student involvement during the term or is on leave (education, medical, parental), they do not qualify as a preceptor and should not be included in a request for library access.
Library access is not for all employees at a location that provides precepting for USask students. USask Library access is limited to those that are actively precepting and is meant to be used for the purposes of precepting.
Preceptor responsibility
- To provide accurate information to USask colleges.
- To use USask Library resources for the purposes of preparing for precepting.
- To access USask Library resources using their individual login information.
- To keep individual login information confidential.
College responsibility
- To ensure all information provided to the library is up-to-date and correct.
- To pass on new NSID and password recovery information to any preceptor that needs a new account created (i.e. if the preceptor never had an NSID in the past).
- To ensure that all organizations that accept USask students for preceptorship are aware of the rules around requesting and using USask Library services.
Requesting library access for preceptors
Colleges request access for preceptors twice a year: once for fall and winter terms (September to April), and once for spring and summer terms (May to August).
- For fall and winter terms, the request should be sent by August 20th to ensure access is ready by September 1st.
- For spring and summer terms, the request should be sent by April 19th to ensure access is ready by May 1st.
As of August 2024, all preceptors must be in IAM and have an NSID in order for the library to provide access.
Accounts and NSIDs may be requested from ICT by the college.
Process
- The USask college will gather the information on their preceptors to fill out the template. The template is an excel doc attached to this article titled, "Library access for preceptors." If you are reading this on a desktop or laptop computer, the attachment will be to the right. If on a mobile device, the attachment will be below.
- Mandatory information is flagged by a red asterix at the top of the column*.
- The college will need to provide the academic term(s) in which each preceptor is active. Specific dates are NOT necessary, just the academic term (T1, T2, T1T2, or Spring/Summer). This column's heading is in green.
- Once all information has been gathered, submit the document via the campus TDX ticketing system. This form goes directly to library IT.
- To ensure preceptors have access on time, it is recommended to submit requests at least a week in advance.
- Library IT will process all preceptors and get back to the college when complete.
Preceptors should not reach out to the library directly for access. If a preceptor does not have library access and believes they should, they need to contact their college, and the college will contact the library on behalf of the preceptor.
Library services for USask preceptors
Preceptors working with USask students have access to USask library resources for the duration of academic term in which they actively precepting. The USask Library will provide preceptors with the following library services and resources:
- Expiry date: end of academic term
- Access to all electronic resources (databases, electronic journals and Data Library Services data files) licensed by the University of Saskatchewan Library
- 150 item limit for borrowing physical library materials
- 50 item HOLD limit
- Extended loan
- $30.00 fine limit
- Free access to Interlibrary loan and scan requests
